Terms & Conditions

Terms & Conditions
Last updated: 24 September 2026

These Terms & Conditions govern the use of the CPD Validation Services website and the provision of provider membership, CPD validation and associated services by CPD Validation Services Ltd (“CPD Validation Services”, “we”, “us” or “our”).
By applying for membership, submitting a course or learning activity for validation, purchasing a validation package, or otherwise using our services, you agree to these Terms & Conditions.

1. About CPD Validation Services
CPD Validation Services provides independent assessment and validation of Continuing Professional Development (CPD) courses, programmes and learning activities against our published standards and validation framework.
CPD Validation Services is an independent validation organisation. Unless expressly stated otherwise, validation by CPD Validation Services does not constitute approval, accreditation or recognition by a government department, statutory regulator, qualification regulator, awarding organisation or professional body.

2. Provider Membership
Provider Membership enables eligible organisations and individuals to become registered providers with CPD Validation Services and access relevant provider services.
Provider Membership and course validation are separate.
Approval as a CPD Validation Services Provider does not automatically validate, approve or endorse any course, programme or learning activity offered by that provider.
Each course or learning activity must be submitted separately and successfully complete the applicable validation process before it may be described as validated by CPD Validation Services.
We reserve the right to refuse, suspend or withdraw Provider Membership where information supplied is materially inaccurate or misleading, our standards are not maintained, our name or marks are misused, or continued membership could reasonably compromise the integrity of our validation service.

3. CPD Validation
Validation is awarded against published standards — it is not purchased.
Payment of a validation fee or purchase of a validation package does not guarantee that a course or activity will be approved.
Submissions are assessed against the standards and criteria applicable at the time of assessment. These may include, where relevant:
purpose and intended audience;
learning outcomes;
quality, accuracy and relevance of content;
alignment between content and learning outcomes;
course structure and learning methodology;
assessment methods;
supporting evidence and learning materials;
claimed CPD learning time;
learner guidance and completion requirements; and
overall suitability as a CPD activity.
We may request additional information, evidence or amendments where necessary to complete an assessment.

4. Validation Decisions
Following assessment, a submission may be:
Approved; Approved subject to minor amendments; Referred for amendments or additional evidence; Referred for further review; or Rejected.
Where amendments or additional evidence are required, the provider will normally be given an opportunity to address the matters identified.
CPD Validation Services retains responsibility for the final validation decision.
A provider may request clarification or review of a decision where it believes relevant information has been overlooked or the validation process has not been correctly applied.

5. Technology-Assisted Assessment
CPD Validation Services may use secure digital systems, automated tools and technology-assisted assessment processes to support administration, document analysis, quality assurance and assessment.
Such tools support our validation process and do not remove our responsibility for the decisions made through that process.
Further information about how personal information is processed, including where technology-assisted processing is used, is provided in our Privacy Policy.

6. Accuracy of Information
Providers are responsible for ensuring that all information, declarations, course materials and supporting evidence submitted to CPD Validation Services are complete, accurate and current.
We may suspend or withdraw membership or validation where approval was obtained using materially inaccurate, incomplete, misleading or falsified information.

7. Validation Period
Unless otherwise expressly stated when validation is awarded, successful course validation is valid for 36 months from the validation start date.
Validation applies to the course or activity in the form assessed by CPD Validation Services.
Material changes to content, learning outcomes, duration, assessment methodology, delivery arrangements or other significant elements may require notification, review or revalidation.
Providers are responsible for ensuring that validated content remains accurate, current and appropriate throughout the validation period.

8. Validation Packages and Course Allowances
Where CPD Validation Services offers packages allowing a specified number of course submissions, the purchased allowance applies to the package and period stated at the time of purchase.
A course allowance represents the right to submit the applicable number of eligible courses or learning activities for validation. It does not represent or guarantee the approval of those submissions.
Unless expressly agreed otherwise, unused submission allowances must be used within the applicable package period and may expire at the end of that period.

9. Fees and Payment
Current fees are displayed on our website or otherwise confirmed before purchase.
Unless stated otherwise, fees relate to the assessment and validation service provided and not to a guaranteed outcome.
Any applicable VAT will be shown where required.
We may change our fees from time to time. Changes will not retrospectively alter a completed purchase unless otherwise agreed.

10. Cancellations and Refunds
Cancellation and refund rights will be applied in accordance with applicable law and the circumstances of the purchase.
Where a customer asks us to begin providing a service during a statutory cancellation period, any applicable cancellation or refund entitlement may be affected once performance has commenced.
Where an assessment has already commenced, documents have been reviewed or other substantive validation work has been undertaken, we may take that work into account when determining any refund to the extent permitted by law.
Nothing in these Terms affects any statutory rights that cannot lawfully be excluded or restricted.

11. Provider Responsibilities
Providers must:
maintain appropriate standards in the delivery of validated activities;
ensure promotional claims concerning CPD Validation Services are accurate;
use our validation status, name and marks only as authorised;
not imply regulatory, governmental or professional-body approval where none exists;
notify us of significant changes affecting a validated activity;
maintain appropriate records relating to delivery and learner completion where applicable; and
cooperate with reasonable quality-assurance enquiries.

12. Use of the CPD Validation Services Name and Validation Mark

12.1 Approved Provider Badge
Providers holding current approved Provider Membership may use the CPD Validation Services Approved Provider badge on their website, social media, email signatures and promotional materials.

The Approved Provider badge confirms the organisation's provider membership status only. It must not be used to state or imply that all courses, programmes or learning activities offered by the provider have been validated by CPD Validation Services.

Where reasonably practicable, use of the Approved Provider badge online should link to the CPD Validation Services public verification facility.

12.2 CPD Validated Course Mark
The CPD Validation Services CPD Validated Course mark may only be used in connection with a course or learning activity that has successfully completed the applicable validation process and holds current validation.

The mark may be displayed on learner certificates, course webpages, course materials and promotional materials relating specifically to that validated course. It must not be used in connection with an unvalidated course or activity.

12.3 Certificates and References
Where the CPD Validated Course mark is displayed on a learner certificate, providers should also display their CPD Validation Services Provider Membership Number and the applicable course validation or reference number, where issued. These details should be displayed separately from the validation mark.

12.4 Use of Our Marks
Our badges, logos and validation marks must not be altered, distorted, recoloured, recreated or used in a manner that is misleading or that implies regulatory, governmental, qualification or professional-body approval where none exists.

12.5 Expiry, Suspension or Withdrawal
Permission to use the Approved Provider badge ends if Provider Membership expires, is suspended or is withdrawn.

Permission to use the CPD Validated Course mark in connection with a course ends when the relevant validation expires, is suspended or is withdrawn.

CPD Validation Services may require the removal or correction of any badge, mark or validation statement that is being used incorrectly or in a potentially misleading manner.

13. Public Verification
CPD Validation Services may maintain a public verification facility containing limited information necessary to confirm the status of approved providers and validated activities.
Information displayed may include the provider name, membership or validation reference, validation status, relevant course information and applicable validity dates.
The purpose of the verification service is to enable third parties to establish whether a claimed CPD Validation Services status is genuine and current.

14. Suspension and Withdrawal of Validation
We may suspend, amend or withdraw validation where there are reasonable grounds to believe that:
our standards are no longer being met;
material changes have been made without appropriate review;
information supplied during validation was materially inaccurate or misleading;
our validation status or marks are being misused;
the validated activity could materially mislead learners or the public; or
continued validation would reasonably undermine the integrity of the validation process.
Where reasonably practicable, the provider will be informed of the issue and given an opportunity to respond before a final decision is made.

15. Intellectual Property
Providers retain ownership of intellectual property in materials they submit to us, subject to any third-party rights.
By submitting materials, the provider confirms that it has sufficient authority to provide them to CPD Validation Services for assessment and grants us permission to access, process and review those materials for the purposes of providing our services, maintaining appropriate records and conducting quality assurance.
Submission of materials does not transfer ownership of those materials to CPD Validation Services.
Our name, logos, validation marks, assessment frameworks, website content and other proprietary materials remain our intellectual property or that of the relevant rights holder.

16. Confidentiality
Course materials and other non-public information supplied for assessment will be handled with appropriate confidentiality and used for purposes connected with providing, administering and quality-assuring our services, subject to our Privacy Policy and any legal obligations.

17. Limitation of Validation
Validation confirms that the submitted activity satisfied our applicable validation standards at the time it was assessed.
Validation does not guarantee:
commercial success of a course or provider;
learner outcomes or individual performance;
acceptance of CPD hours by every employer, regulator, membership organisation or professional body;
recognition as a regulated qualification; or
compliance with requirements outside the scope of our assessment.
Learners and providers should confirm any profession-specific CPD requirements with the relevant employer, regulator or professional body.

18. Limitation of Liability
Nothing in these Terms excludes or limits liability where doing so would be unlawful.
Subject to that qualification, CPD Validation Services will not be responsible for indirect or consequential losses arising from reliance upon validation status, commercial decisions made by a provider, or acceptance or non-acceptance of CPD by an independent third party.
Providers remain responsible for the content, delivery, safety, legality and operation of their own courses and services.

19. Website and Service Availability
We aim to maintain reliable access to our website, application systems, provider portal and verification services but cannot guarantee uninterrupted availability.
We may temporarily restrict access for maintenance, security, technical or operational reasons.

20. Data Protection and Privacy
Personal information is processed in accordance with applicable UK data-protection law and our Privacy Policy.
Our Privacy Policy explains what information we collect, why we use it, the organisations and systems involved in processing it, retention arrangements and the rights available to individuals.

21. Changes to These Terms
We may update these Terms & Conditions where reasonably necessary to reflect changes to our services, processes, standards, technology or legal obligations.
The latest version will be published on our website together with its revision date.
Material changes affecting an existing service or validation will be communicated where appropriate.

22. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
The courts of England and Wales will have jurisdiction, subject to any mandatory rights that apply to a customer under applicable law.
